Why we built a portal instead of another email thread

The old way to apply for a tenancy is a PDF form, a photo of a passport sent by email, and a payslip attached to a different email three days later because the first one was too big. Multiply that by every person moving into the unit, and a straightforward application turns into a scattered thread nobody can fully see at once.

The applicant and resident portal is built to replace that thread, not to recreate it on a screen.

Applying

Each household member gets their own profile inside the same application — not one form filled in on everyone's behalf. They upload their own documents once, and can invite a co-applicant or a guarantor by email, who fills in their own piece without anyone forwarding anything.

It's mobile-first because that's genuinely how most of this gets done — on a break, on the bus, between other things. A wizard that works on a phone isn't a nice-to-have here; it's the primary way people will use it.

After approval, it's the same login

This is the part we think matters most: the account doesn't end at move-in. The same login that built the application becomes the resident portal — the tenancy details, a maintenance request form (what kind of issue, how urgent, a description, photos), and feedback surveys sent at the moments that make sense, like move-in and move-out.

One person, one account, for the whole time they're a resident — not an applicant portal that gets abandoned the day the lease is signed, and a completely different way of reaching the agency once they've moved in.
