The workflow

One path, first enquiry to renewal

Each stage feeds the next — the enquiry becomes an application, the application becomes a tenancy, the tenancy renews — so your team stops re-keying the same data between tools.

  • A shared inbox, a portal, AI-reviewed applications, tenancies and reports — one product
  • Built for Irish lettings: RTB, RPZ rent rules and GDPR retention
  • Every screen here is captured from a running demo

Step 1 · Capture

Every enquiry lands in one shared inbox

Forwarded emails, listing-page forms and API submissions arrive as threaded conversations with the source and property attached. A personalised auto-reply goes out within minutes, and tags — set by staff or AI — keep the inbox organised.

  • Threaded, newest-first, filterable by tag / status / property / assignee
  • Auto-reply from a template scoped to the company, client or property
  • New enquiries appear live; a daily digest catches any reply you missed

Step 2 · Apply

The applicant builds their profile in the portal

A mobile-first portal where each household member builds one profile, uploads their documents, and invites co-applicants or guarantors. Send the link straight from the enquiry thread; the application links back to it.

  • One profile per household member, guided step by step
  • Documents uploaded once, encrypted at rest
  • Co-applicants and guarantors invited by email

Step 3 · Review

The application opens already reviewed

A plain-language household summary, an affordability check against the landlord’s threshold, and a document-by-document cross-check of stated income against the actual payslips and statements — plus RTB and bankruptcy background checks. Advisory only; a member of staff decides.

  • Affordability computed live — shown before the AI pass finishes
  • Each document read, quoted and reconciled; non-English detected and translated
  • RTB / CSOL checks with AI triage of name matches

Step 4 · Convert

An approval becomes a tenancy

Approve an application and it becomes a tenancy — rent, deposit, dates, occupants and recurring charges in one record. Lease documents are generated per tenancy from reusable templates and sent for e-signature through DocuSign, tracked to completion with webhook-verified status.

  • Occupants and figures carried over from the application
  • Lease and addendum documents from templates, data merged in
  • DocuSign envelopes tracked to completion, not just polled

Step 5 · Amend

A new occupant joins without a single forwarded email

An approved profile locks automatically the moment the tenancy is created, so nothing gets silently altered after the fact — staff can reopen one temporarily when a genuine correction is needed, with a reason the tenant can see. Adding someone new is just as controlled: a tenant or staff member invites them by email, and they get their own portal login to add their own profile and documents, without anyone touching the primary tenant’s file.

  • Approved profiles lock automatically; staff reopen them on purpose, not by accident
  • A new occupant is invited by email and builds their own profile — nothing shared, nothing forwarded
  • Staff are warned if the invited email is already an active tenant elsewhere first

Step 6 · Renew

Rent reviews and renewals keep occupancy high

The maximum legal rent increase is calculated against Ireland’s rent-pressure-zone rules and shown read-only alongside the Forecast report; serving a review can extend the lease end date automatically. The calendar surfaces every move-in and notice date, and feedback surveys go out at move-in and move-out.

  • RPZ-compliant rent reviews, RTB registration tracked per tenancy
  • Move-ins, notices and lease ends on one calendar, with viewing bookings
  • The resident portal handles maintenance requests and surveys

Compliance is the default, not a module

Every workflow is wrapped in role-based permissions, an audit trail on every change, and policy-driven retention — so legal and finance stay confident as you grow.

  • Company-scoped data with per-role permissions and a complete audit trail on every change.
  • Data hosted in Ireland, inside the EU, encrypted in transit and at rest, with company-scoped encrypted backups.
  • Policy-driven retention: stale applications purged per company and per status, with a deletion preview first.
